Invoice Data Extraction Software for Accountants: What to Look For

The problem with retyping

Every bookkeeper knows the routine. You open a vendor invoice, read the vendor name, tax ID, invoice number, date, subtotal, tax and total, and type each one into a spreadsheet or ledger. Multiply that by the documents a small firm or operations team handles in a month and the work adds up. Manual entry also introduces small errors that are easy to miss and slow to trace back.

Volume is not the only issue. Documents arrive in different shapes: clean PDFs from large vendors, expense receipts photographed on a phone, scanned pages that are slightly crooked. A tool that only handles one format leaves the rest of the work where it was.

What a good extraction tool should do

Before you choose software, check four things.

First, it should pull the fields you actually record: vendor, tax ID, invoice number, date, subtotal, tax, total, currency and category. If a tool captures only the total, you still retype everything else.

Second, it should show how sure it is. Each field should carry a confidence score, and the weakest one should stand out, so a person checks the uncertain value first instead of re-reading the whole document.

Third, it should keep a person in the loop. Extracted data is a draft. Someone reviews it, corrects what is wrong and approves it before anything is exported. Software that exports without review only moves errors downstream faster.

Fourth, it should catch arithmetic problems. If the subtotal plus tax does not equal the total, the tool should warn you before the data leaves the system.

How Cifra does it

Cifra reads a vendor invoice, expense receipt or purchase order in PDF, phone photo or scan, up to 12 MB. It extracts the fields listed above and gives each one a confidence score. The least confident field is flagged in amber so a person looks at it first.

Anything that needs fixing can be corrected with one click. Nothing is exported until it has been reviewed. If subtotal plus tax does not match the total, Cifra warns you before export.

You can export the reviewed data as CSV, JSON or Excel. Cifra exports files; it does not connect directly to QuickBooks or other accounting software, so importing the file into your system is a step you do yourself. Every account, including the free one, gets an API key for sending documents without opening a browser. The Business plan adds a forwarding email address: invoices sent there arrive already read and waiting for review. Uploaded documents are not stored.
